Mailing Documents to the IRS

Edited

At Mailform, we understand that mailing important tax documents to the IRS can cause concern, particularly if tracking indicates your item is missing or undelivered. This guide provides clarity on what typically happens to mail sent to the IRS and what you should do if your mailed items lack confirmation of delivery.

Understanding USPS Tracking and IRS Mail

When mailpieces addressed to IRS facilities are tracked through USPS, occasionally they may not show as "Delivered," even though they have reached their destination. IRS addresses handle an extremely high volume of mail—approximately 50,000 envelopes daily at each dedicated IRS post office —leading to instances where mail may not receive the standard USPS delivered scan.

Typical USPS Response to online inquiry about missing tracked Mail:

Even with the assistance of technology, combined with our employee’s best efforts, items will be delivered but unfortunately may not receive a delivered scan. We know this is disappointing, and we ask that you please accept our apology for any inconvenience.
If your tax documents did not receive a delivered scan, we recommend the following steps:
• If you sent a payment, please check with your financial institution to verify if your check/money order/cashier’s check has been cashed.
• Contact the agency to see if their records indicate receipt of your mailing. We also highly recommend keeping your mailing receipt. The agency may request proof of mailing, such as your mailing receipt or Certificate of Mailing.
• Your return is considered filed on time if the envelope is properly addressed, has enough postage, is postmarked, and is deposited in the mail by the due date. See https://www.irs.gov/taxtopics/tc301 for more information.
• Check the status of your refund at https://www.irs.gov/refunds.

Recommended Steps if Your IRS Mailing Lacks a Delivered Scan

If your tax documents were mailed timely but have not received a delivered scan, follow these steps:

  1. Payment Verification: If you sent a payment with your return, contact your financial institution to confirm if your check, money order, or cashier’s check has been cashed.

  2. IRS Direct Inquiry: Reach out to the IRS directly to confirm if your documents were received. Ensure you retain your mailing receipt or Certificate of Mailing, as the IRS might request these as proof of mailing.

  3. Understanding Timely Filing: Your tax return is considered timely filed if:

    • The envelope is correctly addressed to the IRS.

    • Sufficient postage is applied.

    • It is postmarked by the due date.

    • It is deposited in the mail by the deadline.
